Fleet Suite — Data Retention Policy
How long we retain data collected through our mobile applications

Introduction
Bachman Inc. ("we," "our," or "us") is committed to transparent data management practices. This Data Retention Policy explains how long we retain data collected through the Fleet Suite mobile applications ("Fleet Suite," "the App") available on iOS and Android platforms, and the circumstances under which we delete or anonymize it.
Scope: This policy applies specifically to data collected through Fleet Suite mobile applications (Customer App and Driver App). For our web platform data retention policy, please visit fleetos.com/data-retention.
Data Collected via Mobile Apps
Fleet Suite collects the following categories of data through our mobile applications:
- Account information: Name, email, phone number, profile photo, driver's license details
- Location data: GPS coordinates (foreground and background with consent)
- Ride and trip data: Booking details, routes taken, timestamps, fare information
- Performance data: Driver scores, acceptance rates, completion rates, feedback ratings
- Device data: Device model, OS version, app version, push notification tokens
- Usage analytics: Feature interactions, session data, crash logs
- Communication data: In-app messages, alerts, and notifications
- Financial data: Transaction records, earnings, payment history
- Locally cached data: Offline maps, cached ride data, local preferences
Retention Periods
Account Information:
Retained for the duration of your active account plus 2 years after account deletion or deactivation, unless you request earlier deletion or legal requirements mandate longer retention.
Ride and Trip Data:
Individual ride records are retained for 2 years after the trip completion date. After this period, ride data is anonymized and may be retained in aggregate form for analytics.
Location Data:
Raw GPS location data is retained for 90 days after collection. Aggregated and anonymized location data (e.g., route patterns, heatmaps) may be retained for up to 1 year for service improvement.
Driver Performance Data:
Performance metrics, scores, and feedback are retained for 3 years after the driver's last activity in the system.
Push Notification Tokens:
Retained until the App is uninstalled, you opt out of notifications, or your account is deleted — whichever occurs first.
Crash Logs and Analytics:
Crash reports and performance diagnostics are retained for 1 year. Anonymized usage analytics may be retained for up to 2 years.
Communication Data:
In-app messages, alerts, and notification history are retained for 1 year after transmission.
Financial and Transaction Data:
Payment records, invoices, and transaction history are retained for 7 years to comply with tax and accounting regulations in the UAE and applicable jurisdictions.
What Happens When You Uninstall the App
When you uninstall Fleet Suite from your device:
- Local data: All data stored locally on your device (cached maps, preferences, offline data) is deleted immediately by the operating system
- Push tokens: Your push notification token is invalidated and removed from our systems
- Server-side data: Data stored on our servers is NOT automatically deleted when you uninstall the App. It continues to be retained according to the schedules above
- Account: Your account remains active. To fully delete your data, you must request account deletion before or after uninstalling
Account & Data Deletion
You have the right to request complete deletion of your account and associated data at any time:
- In-App: Navigate to Settings > Account > Delete Account
- By Email: Send a request to privacy@fleetos.com with the subject "Account Deletion Request"
Upon receiving your request:
- We will process your deletion request within 30 days
- Your personal data will be permanently deleted from our active systems
- Data in backup systems will be purged within 90 days of the deletion date
- Anonymized data that cannot be linked back to you may be retained for analytics
- Data required for legal compliance (e.g., financial records for tax purposes) will be retained for the legally mandated period, after which it will be deleted
Local Device Data
Fleet Suite stores certain data locally on your device for performance and offline functionality:
- Authentication tokens: Stored securely in the device's keychain (iOS) or keystore (Android)
- Cached data: Recent ride data, map tiles, and user preferences for faster app loading
- Offline data: Pending ride data and location logs queued for upload when connectivity is restored
- App preferences: Language, notification settings, display preferences
All locally stored data is automatically deleted when you uninstall the App. You can also clear the App's cache manually through your device settings without uninstalling.
Legal and Regulatory Requirements
We may be required to retain certain data beyond the periods specified above due to:
- Legal obligations under UAE Federal Decree-Law No. 45 of 2021 on Personal Data Protection
- Tax and accounting regulations (UAE Commercial Companies Law)
- Ongoing legal proceedings or investigations
- Court orders or regulatory requests
- Insurance and claims processing requirements
- Fraud prevention and security purposes
When data retention is required by law, we retain it only for the minimum period necessary to comply with such requirements.
Backup and Archive Systems
Data stored in backup and archive systems may be retained for additional periods beyond the primary retention periods. Backup data is typically purged within 90 days after deletion from primary systems.
Archived data is retained for disaster recovery and business continuity purposes. Access to archived data is restricted and used only for recovery purposes.
Your Rights
You have the right to:
- Request information about what data we retain and for how long
- Request early deletion of your data (subject to legal requirements)
- Request a copy of your data before deletion (data export)
- Object to certain data retention practices
- Request data portability in a machine-readable format

Changes to This Policy
We may update this Data Retention Policy from time to time. We will notify you of material changes by posting the updated policy within the App, sending a push notification, or emailing you. The "Last updated" date at the top indicates when this policy was last revised. Your continued use of Fleet Suite after changes constitutes acceptance of the updated policy.
